Event QR code

What it is, how it works, and when to use it

An Event QR Code adds your event directly to the user’s calendar. When someone scans it, their phone or computer opens a pre-filled calendar entry with your event name, date, time, location, reminders, and notes.

This makes it perfect for workshops, product launches, conferences, appointments, classes, meetups, webinars, or RSVP confirmations. It ensures people don’t forget your event — it’s saved instantly.

How to create an Event QR Code

The event generator on SQR includes several fields:

1. Calendar event name

The title of your event.
Examples:
“Marketing Workshop”
“Product Launch — October”
“Therapy Appointment”

2. GEO Location

Optional.
This should be the physical address of your event.
Examples:
“123 Main Street, Amsterdam”
“Lisbon Congress Center”
“Bali Cowork — Canggu”

3. Calendar event URL

Optional.
Add a link where people can find more details or join online.
Examples:
A landing page, Zoom link, ticket page, or RSVP portal.

4. Notes

Optional.
Extra details for attendees.
Examples:
“Bring your laptop.”
“Parking available behind the building.”
“Join the Zoom room 10 minutes early.”

5. Starts on

Choose the date and time your event begins.
Use the calendar picker to avoid mistakes.

6. Ends on

Choose when the event finishes.
If you leave it the same day and time, it will appear as a short event.

7. First alert reminder

Optional.
A reminder notification before the event starts.
Common examples:

  • 10 minutes before
  • 1 hour before
  • 1 day before

8. Second alert reminder

Optional.
A second reminder, helpful for important or long events.

9. Timezone

Choose the correct timezone of the event.
This ensures calendar apps display the right time worldwide.

How to find the correct timezone

If you’re unsure:

  • Search “your city + timezone” in Google
  • Example: “Amsterdam timezone” → Europe/Amsterdam
  • You can also check your phone settings under “Date & Time”

Common uses

Event QR Codes are used for:

  • Conferences and seminars
  • Workshops and classes
  • Product launches
  • Webinars
  • Appointments and bookings
  • Concerts and festivals
  • Team meetings or internal events
  • Open houses and property tours

They help increase attendance and reduce no-shows.

Limitations

  • User must have a calendar app installed
  • Incorrect timezones may cause confusion
  • Static QR Codes cannot be edited after printing
(Use a dynamic QR if details may change)

Best practices

  • Double-check start and end times
  • Add at least one reminder
  • Include a clear event name
  • Add notes for helpful instructions
  • Use dynamic if your event info may be updated

An Event QR Code ensures people remember your event and add it to their schedule instantly.
